Background:

Fairfield Ford had a very decentralized system especially from a printers standpoint. Many departments within the dealership were operating autonomously, they were individually making the decisions as far as their purchases for equipment and supplies. With many departments, came many different brands requiring different supplies, maintenance and service at varying intervals. In fact, the company had (6) Konica MFP’s and (24) varying desktops printers. Because they purchased their equipment outright, and only held service contracts, they had a challenge in accounting for the total cost of ownership of these assets, in fact they had no idea of their current usage volume, breakdown and associated costs. A strategy for an assessment and cost containment of their imaging assets was in order.

Assessment:

Why RMC Was Selected:

We completed a comprehensive DTA analysis that lasted about 6 weeks, during the process we were able to inventory all of their imaging assets, current software applications they are using and interviewed some key end-users. During this process they shared with us their current costs on MFP maintenance and printer cartridges spend. We identified that they had 6 copiers and 24 printers (various manufacturers) within the dealership. Their current copier provider, Konica was unresponsive to their service needs and there were many challenges overcoming billing issues.

More importantly they kept trying to replace the copiers with other MFP’s without doing the necessary homework to help the customer understand the whole picture in managing their imaging assets. Fairfield Ford also had challenges with a third-party IT service provider that made things a little harder from an implementation stand point. The involvement and expertise of our technical staff and Managed IT Services team was instrumental in mitigating many of these challenges and putting them at ease. We showed Fairfield Ford our solution of replacing all of their current Konica’s with brand new Canon MFP’s, refresh 20 out of the 24 printers they had with a combination of HP and Samsung desktops, provide them with a combined 100,000 impressions per month, a full support package at a flat-­rate cost-per-page and single billing.

Implementation:

Our technical staff was instrumental in helping the customer with the transition to a new vendor and the installation (26) new systems. They worked around the customer’s schedule and were able to coordinate with their, third-party IT service provider for a seamless implementation.

Post Install Benefits:

We were able extend their current capabilities and service coverage, provide them with a single vendor for managing all their imaging assets (regardless of the make and manufacturer) while helping Fairfield Ford achieve significant savings and reducing their current spend by over 25%.
